The facilities coordinator, Reception role will be in charge of one of the busiest places in the office—the front desk. Constantly on the go, you’ll give our visitors a warm welcome, and guide them and our employees along the way. In other words, you will set the benchmark in giving the client a good first impression. You will spend each day looking at how you can maintain and improve the front office.
Throughout the day, you will also handle all incoming and outgoing calls, including distribution. Therefore, it is essential to remain professional and polite in the way you present yourself, from appearance to behaviour.
The facilities coordinator, Reception may also be required to provide administrative and operational support to the team as required in the following areas:
Client/Stakeholder SupportProvide superior customer service to meet on-site client’s expectations.
Procurement & Vendor SupportAssist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)
Finance SupportAssist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner
Site operations support (% allocation depends on site)Conference Rooms Coordination
Coordinate booking of the conference rooms
Prepare Conference room areas for meetings.
Organize any specific requirements from the clients regarding meetings
Coordinate DCI or customer meals as directed Consumables Order
Assist with weekly consumables orders
Receipt all consumables delivered and store as required
Forward receipts to FM team for records management
Ensure adequate consumables available for clientGeneral Site Cleanliness
Perform inspections on the cleaning onsite
Give direction to the onsite cleaning staff, ensuring and service corridors are kept tidy.
Organize any special clean requirementsEscorting Clients/Contractors
Assist in maintaining client access requirements.
Risk ManagementParticipate in the disaster recovery and business continuity plans as required
Follow established escalation procedures and incident reporting procedures
Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies
Achieve Key Performance Indicators and Service Level Agreement targets consistent with the role
Other tasks consistent with the role of Workplace Ambassador - Reception

Ideal Experience
You should be a graduate in any discipline and have one to five years’ experience in front desk management or reception. Proven experience with continuous improvement initiatives and client reporting is also vital for this role. If you’re familiar with occupational safety requirements matched with strong computer literacy and the ability to manage activities using different systems, then you might be the best fit for this job.
